Leeds City College Partners with C-Learning to Pioneer Secure, Strategic AI Integration in Education
Leeds City College, a prominent member of the Luminate Education Group, has announced a landmark phased rollout of Gemini for Google Workspace in collaboration with leading digital solutions partner, C-Learning. The initiative highlights a shifting paradigm in education: moving away from reactionary tech adoption toward long-term, secure, and equity-driven digital transformations that directly alleviate staff workload and enhance student outcomes.
The strategic vision was detailed in a recent podcast featuring Martin Wheatley, Deputy Head of Digital Innovation at Leeds City College, alongside experts from C-Learning. Reflecting on the post-pandemic landscape, Wheatley noted that while many institutions experienced a loss of digital momentum as traditional classroom structures returned, Leeds City College is actively defining a dedicated digital strand for its upcoming 2027–2030 strategic plan.
A “Slow and Steady” Approach to Validated Technology
Operating within tightly managed educational budgets, Leeds City College champions a deliberate, “slow and steady” methodology. Rather than chasing fleeting edtech trends, the institution prioritizes rational, long-term investments in validated technologies.
“We focus entirely on what will bring sustained improvements to student outcomes and staff well-being,” said Martin Wheatley. “Our exploration of AI began in early 2023. As the tools evolved from unreliable novelty to versatile, human-like assistants, we recognized their transformative potential.”
Security, Digital Equity, and Scaled Success
A primary catalyst for selecting Gemini for Google Workspace was data governance. The managed solution ensures strict compliance with data privacy standards, guaranteeing that the college’s domain data is never used to train external AI models. This security framework allowed leadership to confidently scale an initial pilot of 50 licenses up to 230 licenses for the current academic year.
Beyond administrative efficiency, the college views secure AI as a matter of digital equity. Leadership emphasized that educational institutions have a fundamental duty to prepare students for the future of work by granting equal access to top-tier technology, preventing a digital divide where only some students have access to advanced local language models.
Driving Efficiency and Securing Buy-In
To secure backing from the Executive Leadership Team, Wheatley advises starting small to build momentum and empowering “evangelical teachers” who can demonstrate immediate, ethical benefits. Notably, support and administrative staff have emerged as enthusiastic early adopters. For these teams, AI has proven to be an intuitive learning tool, providing immediate utility in streamlining operations—such as instantly generating complex formulas within Google Sheets.
Rather than relying on rigid quantitative metrics to measure success, Leeds City College evaluates the impact based on workload reduction. The ultimate goal is to minimize administrative friction, freeing up valuable time for educators to focus on direct student interaction and high-quality feedback.
Entering the “Agentic Era” of Education
Looking ahead, Leeds City College plans to integrate Gemini into Workspace Studio to automate complex workflows. This aligns seamlessly with what digital experts call the “agentic era” of AI, where intelligent agents handle multi-step tasks within a single interface, eliminating the need for staff to constantly switch between applications.
Jamie Farnell-Smith of C-Learning compared the disruptive nature of AI to the early days of the internet, urging educational leaders to view the technology not merely as a way to speed up existing processes, but as an opportunity to fundamentally transform how education is delivered. This strategic deployment follows a history of cost-efficient technology choices by Leeds City College, such as large-scale Chromebook deployments that have historically saved the organization millions of pounds.
